Programme Coordinator (12-Month Contract) We are seeking a proactive and detail-oriented Programme Coordinator to support the planning and delivery of EXCEL’s flagship initiatives. This is an exciting opportunity for an organised, creative, and motivated individual to contribute to impactful performing arts programmes and outreach efforts. Key Responsibilities: The successful candidate will play a central role in coordinating programme logistics, stakeholder engagement, and promotional activities. Responsibilities include: Programme Coordination & Delivery Oversee the planning, organisation, and execution of the outreach and training programmes. Manage programme logistics, including scheduling, venue booking, and artist coordination. Coordinate and manage schedules for exhibition guided tours, workshops, showcases and related activities. Ensure smooth day-to-day operations and timely delivery of all programme activities. Communications, Artist Liaison & Audience Building: Maintain effective communication with trainers, artists, participants and internal teams. Develop promotional materials and coordinate media appearances to enhance programme visibility. Plan, create, and publish engaging content across social media platforms. Support outreach initiatives to broaden audience engagement and participation. Collect and analyse audience and participant feedback, attendance data, and other performance indicators to support programme evaluation and reporting. Administrative & Ad Hoc Support: Assist in programme administration, including data collection, survey coordination, report writing, and the compilation of programme statistics, evaluation results, and management reports. Provide general administrative and operational support as required. Undertake additional tasks and projects as assigned by senior management. Qualifications & Requirements: University graduate in business, arts management, or a related discipline, with at least 2 years of experience in arts administration, stage production, or performing arts education. Strong organisational and project execution skills, with the ability to manage multiple priorities and meet deadlines. Excellent interpersonal and communication skills, with the ability to work both collaboratively and independently. Proficiency in IT and digital tools; experience with ticketing systems or sales platforms is an advantage. Experience in social media content creation and digital communications is preferred. Fluency in written and spoken English and Chinese. A creative mindset with the ability to think strategically and contribute innovative ideas. Flexibility to work occasional evenings, weekends, and public holidays as required to support events and programme delivery. Terms of Appointment Appointment will be made on a one-year fixed-term contract. Salary offered will be commensurate with qualifications and experience. Part-time Course Operation Assistants Part-time Course Operation Assistants are needed to support the part-time performing arts learning courses provided by HKAPA EXCEL. Duties and Responsibilities: Prepare and provide operational & logistical support such as class set up, equipment preparation, and live support to different courses and programmes. Handle phone calls and walk-in enquiries Handle course enrolments Liaise with students, tutors, or parents on course arrangement. Provide general administrative and clerical support such as data entry, stock check, etc. Perform ad hoc task requests as assigned by supervisor. Requirements: Good command of English, Putonghua and Cantonese Proficiency in MS Office applications (including MS Word, Excel and Chinese Word Processing) Good Communication and Interpersonal Skills Experience in learning centre support or knowledge in AV equipment is an advantage Work Place: HKAPA Wanchai Campus or other hired venue Work Time: at least 3 hours each time in the evenings, Sat, Sun, or public holidays. Frequently Asked Questions FAQ How do I register for a course? You can register for a course on our official website or visit our Reception Counter in person. Can I register for someone else? Yes, you can register on behalf of someone else, provided that the applicant's name and contact details are accurately presented at the time of enrollment. This is necessary so that EXCEL can verify the course participant's identity and contact them in case there are any changes to the class. What payment methods are accepted? For online registration, you will need to settle the payment with credit cards. You may also visit our Reception Counter in Wanchai to settle the payment with cheque and cash. Where will the courses take place? Please refer to the venue information on the course details. You will also receive a course confirmation email listing the venue information. What is the attendance requirement in order to receive a Certificate of Attendance? Not every course offers the Certificate of Attendance, please refer to the course description. In general, students are required to attend at least 80% of the course to receive the Certificate of Attendance. Will there be a makeup class for me if I cannot attend a particular lesson? Please note that no make-up classes will be offered if the student is absent on his/her own accord. When will I know if my enrolment in the course is successful? A confirmation email will be sent to successful applicants at least 3 working days prior to the course commencement. Applicants who have not received email, please email sc.excel@hkapa.edu . Can I withdraw my application after I have paid the course fee? Course fees paid are non-refundable except under very exceptional circumstances such as the course is cancelled before the commencement. Can I change my course after I have registered? Please note that applicants cannot change to another course after paying the course fee. Does EXCEL accept late applications after the course has started? Depending on the availability of places, some courses may consider late enrolment. Please note that applicants enrol after the course start still need to pay the full course fee. It also requires an attendance rate of 80% or higher of the full course length in order to receive the Certificates of Attendance. To secure a place in the course, candidates are encouraged to apply early. What should I do if I want to change my personal information? We use email to notify students of unexpected situations. So please make sure you have provided an up-to-date email address. If there are any updates, please email sc.excel@hkapa.edu as soon as possible. Can I get a course discount? Some courses will offer discount and please check each course description before applying. In general, the following discounts are offered for most of our short courses: 10% offer Senior citizen card holders Holders of registration card for people with disabilities Card holders of Hong Kong Federation of Education Workers Participants who enrol within Early Bird Discount period 20% offer Full-time students (16 or above ) The discount is only applicable to such card holders themselves. The card holders cannot enrol on behalf of other parties with the discount offers. The discount is not applicable to courses which specified "no discounts available". What kind of learning environment can my child expect? EXCEL aims to provide a focused, supportive, and engaging learning environment where children can build confidence and develop their skills. We expect participants to be able to attend classes independently, meaning they can follow the teacher's instructions, participate in group activities, and manage their own basic personal needs during the lesson without requiring a parent or caregiver inside the classroom. To help maintain this focused atmosphere for all students, parents, guardians, and designated caregivers are generally not permitted to observe regular classes inside the studio. Special observation arrangements (e.g., taster sessions or showcases) may be organised by EXCEL from time to time. How can I help my child prepare for class? To help your child settle in comfortably, we recommend the following:Take your child to the toilet before entering the studio.Wear comfortable clothing suitable for movement and physical activity (please check specific clothing or footwear requirements for different classes).Bring a water bottle, a light jacket, and any learning materials specified by EXCEL or the teacher. Can I drop off my child and leave the venue during class? For the safety and well-being of our youngest participants, parents, guardians, or their designated caregivers are required to remain within the EXCEL premises (in the designated waiting area) for the entire class duration if the child is under the age of 7. For older children with specific needs, we may also require a caregiver to remain on site based on prior disclosure. This is so you can respond immediately if your child needs personal assistance. Please note that EXCEL staff do not provide personal care assistance (such as accompanying children to the toilet, changing clothes, or administering behavioural support) during class. If your child needs to use the toilet during class, a staff member will escort the child to the designated waiting area where you can accompany them to the restroom. EXCEL staff do not enter the restroom with the child. Your presence ensures your child receives the care they need without disrupting the learning of others. How does EXCEL support children with different learning or support needs? Parents or guardians are responsible for notifying EXCEL in writing before the course commences of any medical conditions, allergies, behavioural concerns, or other circumstances that may affect their child's participation or learning experience. If your child requires additional support, we may request that you or your designated caregiver remain at the venue—or in some cases, stay inside the classroom—to provide direct assistance. This ensures we can work together to give your child the best possible experience. Will photos or videos be taken during class? Can I take my own photos or videos? EXCEL staff may take official photographs, audio, and video recordings during classes or showcases for educational, archival, and promotional purposes. These materials may appear on our website, social media platforms, or marketing materials. To protect the privacy of all children and to maintain a distraction-free learning environment, parents, guardians, caregivers, and visitors are strictly prohibited from taking photographs or recording videos during class. Teachers are focused entirely on delivering the lesson and are not available to take personal photos or videos for families.
